Communicate the agenda of the meeting in advance to enable participants to prepare adequately. Outline the meeting's agenda and clearly state the objectives of the meeting, such as brand management or how to improve on value delivery. Ensure the meeting room is ready before participants arrive, and start the meeting on time. Allow some time for brief introductions. Assign minute taking to one of the participants for future reference.

Identify the actions necessary to achieve objectives outlined in the agenda. Discuss each action so as to ensure that only actions that are suitable and have the support of all -- or a majority of the participants -- are ratified. Encourage participants to ask questions. Ask open-ended questions, such as "What is your take on improving service delivery to our customers?" These questions help open the discussion and generate new ideas.

Identify the skills, expertise and experience required to perform the actions that have been ratified. Engage the participants in identifying such qualities and pointing out people who can be charged with carrying out these actions effectively and efficiently.

Assign each ratified action to the people identified according to their expertise, knowledge and experience. Determine sufficient timelines for them to perform the tasks.

Conclude the meeting on time and go through the agenda to ensure nothing has been left out. Communicate the decisions made in the meeting and anything that has been postponed to a future meeting. Set a date for the next meeting.
