    • 1). Log in to SAP BusinessObjects and specify the data you wish to access. Create a query based on an already existing “universe.” Universe refers to the relevant data retrieved from the database of your business. It may comprise payroll or sales. It is usually made up of objects (specific elements of data that are related to your business’s activity) and classes (grouping of objects). Alternatively, retrieve data from ASCII file or Microsoft Excel.

    • 2). Click on the “Begin” button in the new reports wizard. Select the universe from which you wish to retrieve data. Click on the “Next” and then the “Finish” button (this is if you opt to select data from SAP BusinessObjects). A query letter with the universe you have chosen will show.

    • 3). Select the elements you will use to retrieve data and to structure the report. Check to the left of the screen panel to view the classes and the objects available. Double click or drag the name of the field to the Result Object section of the query panel. This is to choose the objects that you want to show on your report. Continue to drag the entire folder to the Result Objects section. (This is necessary if you decide to run a query on all objects within a particular class).

    • 4). Use filter and condition. Select a predefined condition. Alternatively, create a condition statement to specify condition. Drag the object you want to filter to the Conditions Section of the query panel to create a condition statement. Check the left side of the query panel to see a list of operators including “greater than,” “equal to,” “between,” “different from” and “matches pattern.”

    • 5). Select the object “customer state” and “equal to” for the operator. Type the initials of the location to which the customer report you wish to create applies. For example, if running a customer report for Texas, type “TX.” This will restrict your results to customers in Texas. Create numerous condition statements by using a combination of “and” and “or” statements.

    • 6). Execute your report. Insert indexes, and summary totals and apply page totals by select fields to format your report. This way, it can be printed directly from SAP BusinessObjects or exported as Microsoft Excel file.
